Product and order operations

A customer asks for item “00127”, while an imported catalogue shows “127”. The enquiry arrives successfully, yet the office may act on a different item. Our product and order work can start by making the chosen item, its specification and the staff response dependable before adding a checkout.

Keep the customer's reference intact

For a fictional Estonia-connected distributor, choose a small set of approved examples: a code with leading zeros, a variant, a discontinued item and a request that needs clarification. Decide which values identify an item and which describe quantities or units. The catalogue, enquiry summary and staff view should preserve those meanings through an export or supplier-file update.

The paid scope can include a structured catalogue, a specification enquiry and a queue for staff to resolve an uncertain choice. Where references do not match, show the unresolved question rather than silently selecting a plausible product.

Separate receipt from a commitment

A complete enquiry can still need availability, specification or delivery review. Agree what the acknowledgment tells the customer and which staff action confirms the next step. The business supplies approved commercial terms and decides which items can be ordered directly. Payment connections, tax treatment and provider approval are separately assessed if that phase is proposed.

Follow a correction through the office

Change a demonstration reference after the first review, then re-import an older supplier file. Ask the receiving colleague which item and version they would now use. Acceptance checks the characters, linked document and outstanding decision, not only that a form or import succeeded. Bring a few approved item records and the current handover; read the reference round-trip example before preparing the sample.

Give a product reference one meaning.

An Estonian catalogue may present a local description while a supplier file uses English labels. Agree the shared product reference, units and document language so staff can match an enquiry to the intended item.
