A data export is only one part of leaving a business application

Check whether the organisation can understand and use its information after a supplier relationship ends.

A supplier says the business can export its data at any time. The downloaded file contains records, but not the relationships, document versions or explanations staff need to keep working. An export facility is useful; it is not a complete exit plan.

Choose the work that must continue

For a fictional Estonia-connected service business, list active requests, customer contact arrangements, approved documents and the responsibilities attached to each. Identify what staff would need on the first day without the current application.

Ask which formats and supporting files are available through the actual account. A supplier's general feature list may not describe the export a particular customer can use. Do not assume access continues after a cancellation without checking the agreed terms.

Try reading the exported example

Use approved demonstration records. Ask a colleague to identify the current document, the request owner and the next action from the export and its supporting information. Record any relationships that are missing or depend on undocumented codes.

RIA's guidance for managers connects contingency planning with roles, work processes and supplier arrangements. Those are useful questions for an exit plan, alongside the technical availability of files.

Agree what remains with the business

Document who can request the export, where the interpretation is kept and how later corrections will be handled. The business and appropriate advisers should settle retention, deletion and contractual obligations. Avoid treating a successful download as evidence that every obligation has ended.

A handover engagement can investigate one application and rehearse a limited exit example. It should report the remaining dependencies clearly rather than promising a seamless move from an untested archive.
